One of the key elements of obtaining higher profit in the maintenance business is the ability to predict the future. When you are able to accurately, within 2-3%, predict your future revenue you are also able to predict labor, material and administrative costs more accurately. If you know exactly how much revenue you were going to generate next year you could plan every penny of your expenses in a way that maximized your profit dollars. Having this level of predictablitiy provides you with…
The benefits are endless, continuing to build your revenue stream and profits year after year.
In reality, with a maintenance based business you are not so much predicting your future as you are inventing it. You have little control over where projects and/or emergency service comes from, it just shows up depending on the economy, the weather and equipment failures. When it come to generating revenue from maintenance agreements its a completely different story. When selling maintenance…
Maintenance agreements provide a service organization with the single most predictive source of revenue. They generate a recurring flow of cash, with little or no recurring sales effort or cost.
Maintenance agreements have an additive affect on your total revenue, in that they produce revenue from year to year as long as you perform and keep the customer. For example: ten hours invested in selling a $50,000 project will not return as many profit or revenue dollars as ten hours invested in selling a $10,000 maintenance agreement.
The extra/spin-off work generated by maintenance agreements has proven itself to be an extremely consistent and predictable ratio. Service organizations with a large maintenance base can expect $2-5 in extra/spin-off work for every dollar in maintenance revenue.
Therefore, in comparison the ten hours invested to sell the maintenance agreement will generate a very predictable $30-60,000 per year, for as long as you keep the agreement. Many times, agreements stay in effect for over 7 years. This brings the potential total revenue for the maintenance agreement to over $500,000. As for the $50,000 project, well, it might generate more revenue, but since it is not predictable who knows?
Emergency service falls into the same category as project sales. It is unpredictable, does not have the additive effect on revenue like maintenance and is far more difficult to manage than either projects or maintenance.
When is comes to management of these 3 revenue streams maintenance is the clear winner as well. Projects come in a distant second place while emergency or demand service hasn’t even left the starting blocks.
You plan the number and duration of every maintenance agreement visit well in advance, even years in advance in some cases. Projects might be planned a week or two in advance and emergency service well it isn’t planned at all.
Add all three revenue streams together, with the sales focus heavily point in the maintenance agreement direction and your growth and profits will be fantastic!
Unlike most online software companies, My Service Builder does not charge an up front fee. These companies tell you it’s for for setup or configuration. In reality the up front fee these companies charge is no more than a commission paid to the sales representative.
There are a couple things you should know about all those Microsft Access programs. They typically include a little file named “MouseHook.dll”. If you are using a MS Access estimating system check your hard drive by doing a search. Then do a Google search on “MouseHook.dll”. You may not want to keep the files on your computer. You can look here or here to see what other think about this non-Microsoft File.
The days of installing software are gone!
Don’t put anything on your computer you don’t need to.
It slows your system down.
NOBODY likes a slow computer!
Yet another little file they like to add is named IP2Lib32.dll, this tool lets them collect personal data from your hard drive. You should search for it on your drive as well. You can see what others think of this file here. According to some experts the IP2Lib32.dll files is considered malware.
Using MSB Estimator is much safer. We don’t put any files on your computer except service agreement documents you download. Additionally, MSB Estimator does daily backups of your job files for you. So your data is always safe. Just jump on another computer, pull up the MSB Estimator website and you’re back to work.
As you can see most of the problems associated with a slow running computer are from software installations. Using web based or hosted software will save you significant dollars.
Traditional software is purchased, installed and configured on your computers. Hosted software is web-based, and can be accessed from any computer in the world with an Internet connection. With hosted software there is nothing to install or configure on any computer.

Maintenance software for HVAC companies comes in many forms. Most are stand alone programs that run on a single computer. Many are networked, allowing one installation to be used by many computers on the same network. My Service Builder is a web base program which allows it to be run from any computer any where in the world that has internet access.
The level of accessibility provided by My Service Builder’s software gives it’s users some unique advantages. For example, a maintenance sales person can run the My Service Builder software while delivering a presentation to a potential customer. Once the customer and the sales person agree on the extent of coverage that will be provided under the maintenance agreement, the sales person can email the maintenance agreement to the customer and print it immediately.
We also have a few built-in security features to keep your data safe. Imagine a disgruntled sales person logging in one last time before they leave and deleting all their jobs. This could be disastrous. But we have you covered. No body can delete a job without special permissions. Your data is safe. We also do daily backups of the database to ensure data integrity at all times.
Unless you have a really good in-house IT department you may not be getting this level of data security. If your computer blows a hard drive what happens to your maintenance job data? Its gone. You could hire a data recover company, and spend thousands to recover the lost information. Or you could sign up with My Service Builder and forget about all those traditional worries.
